We seek an energetic and talented individual to join our finance team. The Bookkeeper serves an important integrator role across the multiple programs and activities of the organization. He/She should be outgoing, approachable, and eager to interact with staff. The Bookkeeper will work to some degree with our membership and reports to the Finance Director. This position is part-time; 3 days per week. Essential Job Duties Responsibilities include but are not limited to: • Coordinate weekly and monthly work plan with Finance Director to ensure all fiscal deadlines and timelines are met • Responsible for Accounts Payable & Receivable processing • Review monthly payroll reports from outside payroll service, input payroll into accounting system • Prepare and process payroll for Finance Directory when necessary. • Reconcile petty cash and checking accounts • Responsible for financial management of The Giving Practice (the consulting arm of Philanthropy Northwest): liaison with consultants, invoicing, contract management, client tracking • Monitor grants receivable • Assist with annual financial audit including preparation of audit schedules, compiling documentation for review, responding to auditor’s requests https://jobs.philanthropynw.org/print-job/?listing_id=578 4/9/14 Philanthropy Northwest Job Bank :: Print Job Bookkeeper Page 2 of 3 • Vendor management including preparation of form 1099’s and form 1096. • Communicate over phone and via email with members, prospective members and general public • Assist with vendor management and maintenance • Create internal program reports • Assist Finance Director on special projects as necessary General Responsibilities • All Philanthropy Northwest personnel share in the following general responsibilities: • Respond to requests from members for technical assistance. • Meet or talk with specifically assigned members about their current activities, areas of interest, staff changes and other news throughout the year. • Personally invite members to upcoming programs of special interest. • Identify and act on opportunities to support outreach to prospective members. • Professionally represent Philanthropy Northwest at member programs and community events. • Support a positive and high-functioning work environment by acting with integrity, honesty, and respectfulness towards coworkers. • Perform other duties as assigned. Qualifications • Experience with MIP/Sage/Abila accounting system in a nonprofit environment; preference will be given to candidates with 2 or more years of experience in Sage/Abila. • Strong attention to detail and commitment to quality. • Previous experience in audit preparation. • Comfort in coaching and leading co-workers thru financial reporting and budgeting processes. • Experience in non-profits, philanthropy and/or membership associations strongly preferred. • Experience working in a collaborative team environment and skill in working across program disciplines to achieve exceptional results. • A good sense of humor and an engaging personal style. Technical Skills • As noted above: experience with MIP/Sage/Abila is required. • Strong understanding of accounting principles in a non-profit environment; CPA not required • Familiarity with SalesForce is a plus. • Strong skills with Microsoft Excel and other Microsoft Office products. https://jobs.philanthropynw.org/print-job/?listing_id=578 4/9/14 Philanthropy Northwest Job Bank :: Print Job Bookkeeper Page 3 of 3 Salary & Benefits The annual compensation for this part-time, exempt position includes a package of benefits including medical, vision, Flex-Plan and a retirement contribution. Salary range is $45,000 to $50,000 on an annual basis, prorated to $27,000 to $30,000 based on 0.6 FTE.
